Ordering
- Registration is only confirmed when the organiser has received a completed and signed exhibition agreement, or when a confirmation has been received via email. The registration is binding, and the exhibitor is liable for the total stand rental and registration fee. The organiser may reject registrations without having to provide a reason, and will not incur any liability for damages. An additional fee of DKK 150 will be charged for payment by credit card.
- The organiser determines the placement of the stand but takes the exhibitor's wishes into account.
- Unless otherwise agreed or a different procedure is used, the organiser's receivable must be paid as follows: Registration and stand rental will be invoiced approximately 8 weeks before the exhibition starts, and the full amount is due 10 days later. After this date, the organiser reserves the right to rent the stand to other exhibitors.
- a) Failure to comply with the payment terms results in the loss of the right to use the allocated stand area, and the outstanding claim will be sent to collection. In such cases, the organiser has the right to dispose of the allocated stand area at the exhibitor's expense.
b) If the exhibitor, despite having paid the stand rental, cannot/will not exhibit or fails to attend the exhibition, the stand will be handed over to the organiser at 12:00 on the opening day. This will not result in a refund of the stand rental.
- Subletting of the stand area is not permitted. Only registered companies may participate in the exhibition.
- a) A stand is provided as standard with side and back walls facing the neighbouring stand, as well as front supports. The stand can have 1-3 open sides, depending on its location.
b) Open stands (islands) are provided without walls.
c) Outdoor stands are constructed by the exhibitor themselves. Furnishings and equipment for the stand are not included in the stand rental price.
- Two-storey stands or stand constructions that exceed the standard wall height of 2.5 m must be approved by the organiser in advance. Costs may be incurred to raise the wall facing the neighbouring stand. The price per m2 for the additional storey amounts to 50% of the regular square metre price.
- The organiser reserves the right to close registration or possibly reduce the registered area if the entire exhibition area is sold out at an early stage. Stand areas are allocated to the various product groups as far as possible.
- The organiser is entitled to change the date of the exhibition without the contracts being subject to cancellation for that reason. Notice of a change of date must be sent to the exhibitors at least one calendar month prior to the originally scheduled date.
- Only goods and services registered for the exhibition may be displayed. During the exhibition, the exhibited products may not be removed from the stand without the organiser's written consent. The organiser may, without justification, require that exhibited goods and services not covered by the main areas of the exhibition be removed.
- Posters and similar materials may not be placed outside the allocated stand area. Active sales, product samples, and promotional materials must be limited to the exhibitor's own stand. It is also not permitted to engage in active sales in the aisles or to distribute promotional materials or similar at the entrance to the exhibition hall. Violations will result in a fee of DKK 3,000.
- a) Demonstrations, distribution of product samples, use of AV equipment, speakers, and similar must be carried out without disturbing the neighbouring stand or surroundings. Any complaints should be directed to the organiser, who will make the decision.
b) It is not permitted to sell food and/or beverages from or at the stand without prior permission from the organiser. Preparation and any distribution of samples must be approved by the organiser well in advance of the exhibition opening.
- a) It is not permitted to set up personal WiFi networks in the exhibition halls. Wireless routers or access points that are set up will be confiscated without prior notice, as they interfere with the existing wireless network for everyone else at the exhibition.
b) Balloons filled with helium are not allowed at the housing exhibition. Dogs are not permitted in the exhibition halls.
- Exhibitors selling goods or services at the exhibition must be VAT registered. Foreign exhibitors selling products/services directly to consumers must also be registered with the tax authorities through a taxable Norwegian representative. Foreign exhibitors not covered by EEA regulations, and who sell goods directly to consumers, must have a valid work permit.
- Exhibitor information and an online store for ordering stand equipment can be found at www.compassfairs.dk. Here you can also find the Terms and Conditions for Rental.
- The exhibitor is responsible for any damage caused to buildings, furnishings, installations, and individuals. The authorities' and organisers' instructions and directives must be followed closely.
- Conditions beyond the organiser's control, including interruptions in power, water, heating supply, as well as interruptions of telephone and communication lines, as well as situations that can be classified as force majeure, do not entitle the exhibitor to claim compensation or refund of stand rental.
- The organiser provides security during the periods when the exhibition is being set up, while the exhibition is taking place, and while the exhibition is being dismantled, but assumes no responsibility for exhibited goods, equipment, or third-party property. The exhibitor must ensure coverage through all necessary insurances at all times. This also applies if a representative of Compass Fairs AS handles the product/goods.
- a) The exhibitor must arrange for transport, setup, dismantling, storage, packing, and removal of their own exhibition. All goods must be labelled with the exhibitor's name, stand number, and address.
b) The exhibitor commits to familiarising themselves with the setup/dismantling times applicable to the exhibition. If the stand is not dismantled and the stand space cleared before the dismantling period ends, the organiser may arrange this at the exhibitor's expense and risk.
- The organiser is responsible for cleaning the indoor exhibition aisles. Cleaning of the exhibitor's own stand must be ordered separately and will be carried out at the exhibitor's expense.
- If the weight of goods and equipment exceeds 400 kg/m2, this must be indicated in advance. The exhibitor must cover all costs for the necessary reinforcements. The organiser reserves the right to refuse particularly heavy exhibition items.
- Dismantling is not permitted during the exhibition opening hours. Violations will result in a fee of DKK 3,000.
- All photos/videos taken by the organiser during the exhibition period may be used in the organiser's own marketing without consent.
- The organiser is entitled to cancel the exhibition, provided there is a reasonable cause. A reasonable cause is considered, for example, if an unreasonably small number of exhibitors register, or if the organiser has reason to believe that the number of attendees will be unreasonably low. Before cancellation, the registered exhibitors should, as far as possible, have the opportunity to express their views. In the event of cancellation, the registration fee and stand rental will be refunded. Any other expenses and work incurred by the exhibitors in connection with the exhibition will not be refunded.
- Furthermore, it is assumed that the exhibitor complies with Norwegian legislation and obtains the necessary permits associated with the exhibition from the responsible authorities.
- The organiser disclaims any responsibility for any errors in printed materials or electronic information regarding the exhibition.
Rental of Equipment
1. Duration of the Rental Agreement
The lessor delivers the ordered products to the lessee's location as per further agreement. The products will then be the lessee's responsibility until the last day of the event. The lessee may not rent the products to third parties without the lessor's written consent. The lessee returns the products to the lessor by leaving them at the location where they were delivered. If there is a reasonable cause, the lessor may require the rented products to be returned earlier than mentioned above. The rented products must be returned in the same condition as they were in at the start of the rental period.
2. Statement of Costs Incurred in Connection with the Rental Agreement
The lessee agrees that the lessor may charge him/her for the services that the lessee has signed for, as well as for the matters arising from this contract, either via credit card or regular invoice. The lessor may require other relevant forms of security. In the event of misuse of the rented products, the lessor may subsequently deduct fees and charges incurred in connection with collection as well as late interest from the lessee's bank account.
3. Costs Incurred in Connection with the Rental Agreement
The lessee agrees to pay the rental fee and any additional claims listed in the rental agreement as well as the lessor's costs for recovering the lessee's obligations, including the fees that the law allows at any time for the collection of such amounts. In the event of late payment, late interest will accrue in accordance with the law on interest for late payment during the period between the due date and receipt of payment.
4. Lessor's Duties/Complaints
The lessor commits to making the ordered rental products available to the lessee at the agreed time and place. The lessor does not guarantee delivery of products ordered after the deadline for the specific event. The rental products must be in good condition. The lessee is obliged, as far as possible, to check the products immediately after they have been made available to the lessee. The lessee loses the right to invoke default, whether for defects or delays, if he/she does not notify the lessor within a reasonable time after the lessee has discovered or should have discovered the default, specifying what type of default is involved. If the lessor fails to fulfil his/her obligations under the agreement, he/she may require that the lessor remedy the defect at his/her own expense, provided it is possible without imposing unreasonable costs or inconveniences on the lessor. Even if the lessee does not demand it, the lessor may remedy defects or make a new delivery at his/her own expense if it can be done without significant inconvenience to the lessee. If remedy or new delivery is not possible or cannot be carried out within a reasonable time after the lessee has pointed out the defect, the lessee may demand a proportional reduction in the price. In the event of significant default, the lessee may cancel the rental agreement. The lessee may not cancel the rental agreement unless he/she notifies the lessor of the cancellation within a reasonable time after he/she became aware or should have become aware of the default.
5. Lessee's Duties
The lessee commits to treating and using the rental products properly and not
- to screw or glue items to walls, profiles, or other rental products,
- to spill food and beverages on carpets,
- to separate screwed-together parts of the equipment,
- to otherwise default in a way that diminishes the value of the equipment or incurs costs for the lessor for cleaning or repairing the equipment.
If the lessee treats the rental products negligently, he/she will be liable for the lessor's full loss corresponding to the product's purchase price.
6. Scope of Lessee's Liability for Damages During the Rental Period
The lessee is financially responsible for all expenses that may arise for the lessor in connection with cleaning, repairs, and transport due to damages and/or vandalism to the rental products during the rental period.
7. Unforeseen Events
Conditions or events that are beyond the lessor's control, such as interruptions in power, water, or heating supply, as well as interruptions of telephone and communication lines and situations that can be classified as force majeure do not entitle the lessee to claim compensation or refund of expenses related to the rental agreement.
8. Ordering Deadline
Orders received after the regular ordering deadline will incur additional work, rescheduling, and changes related to transport/logistics. After the regular ordering deadline, the lessor's own prices for deliveries, which must be processed separately, will apply.
9. Cancellation Deadline
Within the ordering deadline (see point 8), the lessee has a cancellation period of 5 working days after delivery has taken place. Equipment ordered after the ordering deadline will be invoiced, even if the lessee does not use it.
Marketing
- The order for the advertisement is only registered when the organiser – hereinafter referred to as the publisher – has received an order confirmation and accepted it via email.
- The order for the advertisement is binding, and the exhibitor is liable for the value of the advertisement.
- The publisher is entitled to refuse the order for the advertisement without incurring any liability for damages if the content of the advertisement is in violation of Norwegian law and our ethical guidelines. The publisher determines where the advertisement is placed, unless otherwise specified in the order confirmation, but takes into account the advertiser's wishes.
- The advertising material must be delivered to the publisher in accordance with the specifications stated in the order confirmation and before the deadline indicated for the delivery of materials. If the publisher has to produce the advertisement, a production surcharge for graphic work will be calculated. All materials that need to be produced by the publisher will be sent to the advertiser for approval before printing. It is the advertiser's responsibility to approve the sent proof before the specified deadline. The publisher assumes no responsibility for received, finished material or advertising material that arrives after the deadline.
-
- The costs of the advertisement, including any production costs, will be invoiced approximately one week after the publication date, and the entire amount is due for payment 10 days later.
- Advertisements ordered simultaneously with registration for the exhibition will be invoiced approximately 8 weeks before the exhibition starts along with the exhibition organiser's costs and will be due for payment 10 days later.
- If the payment terms are not complied with, the outstanding amounts will be handed over to collection.
- The publisher has the right to change the date of the exhibition newspaper's publication, without this entitling to cancellation of an ordered advertisement. The advertiser must be notified of the changed date at least one calendar month prior to the originally scheduled date.
- The advertiser must be VAT registered. Foreign advertisers who are to sell products/services directly to the consumer must therefore be registered with the tax authorities through a taxable Norwegian representative. Foreign advertisers not covered by EEA regulations, and whose advertising is directed directly to consumers, must have a work permit in accordance with applicable regulations.
- Conditions beyond the publisher's control, i.e., situations that can be classified as force majeure, do not entitle the advertiser to claim compensation or reimbursement of advertising expenses.
- In the event of errors in the advertisement caused by the publisher, the advertiser is entitled to claim compensation in addition to the cost of the advertisement.
- The publisher has the right not to cancel the publication of the exhibition newspaper, provided there is a reasonable cause. Before a cancellation, the advertiser must be notified of the cancellation at least 14 days before the exhibition starts, so that the advertiser can undertake other marketing activities. In the event of cancellation, any paid advertising expenses will be refunded. Any costs incurred by the advertiser in connection with the advertising will not be refunded.
- The publisher disclaims any responsibility for any errors in printed or electronic informational materials about the exhibition.
